About Fenix

Fenix is the new art museum about migration in Rotterdam. Artists, photographers, chefs and other creative makers share stories that cross borders. Stories of love and farewell, of arriving and feeling at home, of identity and the search for happiness. Located on a historic site of departure and arrival, where millions of Europeans once set out and people from all over the world arrived, Fenix shows that migration is timeless and deeply personal.

The assignment

Fenix currently works with Tribe CRM, but the system is underused and may not fully align with our dynamic organisation and working processes. We are looking for an experienced freelance project lead to guide us in evaluating, optimising and – if necessary — replacing this system.

The core of this assignment is not technology alone, but organisation, adoption and commitment. Success depends on the active involvement of all teams across Fenix.

You will work in an advisory and guiding role, with some hands-on responsibility, under the overall accountability of the Head of Marketing & Communications.

What will you do?

  • Evaluate the current CRM system by gathering needs, challenges and requirements across all departments, and mapping overlaps and differences.
  • Lead the process with Tribe CRM, including assessing whether the system can be better aligned with Fenix and steering optimisation and reconfiguration where possible.
  • If required: guide the selection and implementation of a new CRM system.
  • Set up and embed governance, including clear roles, responsibilities, ownership and working agreements between departments.
  • Actively manage stakeholders by working with designated points of contact per department and fostering commitment, clarity and ownership.
  • Develop and oversee the project plan, timeline and overall progress, with the goal of:
    • a technically sound CRM system,
    • demonstrable and sustained use across all teams,
    • clear governance (including roles, responsibilities, ownership and working agreements),
    • delivery by May 2026.

Who are you?

  • Strong stakeholder management skills: you know how to bring people along and build commitment.
  • Proven experience in implementing and optimising CRM systems.
  • Experience working within complex organisations with multiple teams and competing interests.
  • A structured, calm and clear communication style.
  • The ability to work both analytically (systems and processes) and people-centred (adoption and behaviour).
  • You're fluent in Dutch and English. We want to welcome our visitors in a wide variety of languages. Do you speak other languages? Fantastic!
  • If you have an affinity with the themes of migration and culture, that is an advantage.
